How can you keep your attendees engaged after the event? How can you prepare for your next event?
The conference has just come to an end… and you have put so much work/effort in organizing it! So, don’t waste this huge amount of time you’ve spent on your event – keep in touch with participants and do your homework – because you wanna create better events in the future, right?
How you can keep in touch with your attendees?
Don’t let attendees forget about your efforts
You can do it in many ways, but the easiest ones will be the latest inventions of new mobile technology! Mobile conference apps are powerful tools that inform your participants about news and events even after the conference ends. Materials added by the organizer to content management system (CMS) can be viewed and downloaded by the attendees any time…even if your participants will forget about the event (what, I’m deeply sure, will not happen).
Thanks to the conference application your attendees are accustomed that you are online. They may want to contact you – so answer all of the received emails, share your thoughts, be online in social media and be willing to talk and have an open mind.
Let them read You can encourage people to continue learning after the event ends. It can be done by giving them the access to recordings of sessions for a longer period of time – it could be two weeks, could be a year – it’s up to you. Participants who have this access, can continue the training from your meeting.
Your event app can survey participants after every event and gather interesting feedback or analytics. This will help you in preparation of your next conference. Moreover, you can share information with your attendees, let them influence further conferences. Who should give keynote at the next event? What could be have done better in future? They will give you million dollar worth of answers. You will see that it is not difficult with a good technological solution and it is extremely rewarding.
They will like you
You can make loads of pictures during the conference. Post them on your Facebook wall and remind your participants of the good moments. They will do the same – share their individual experiences. Your conference will become more visible and you will be able to make a bigger impact on the participants.
Who said that you may tweet only during the conference? Thank attendees for attendance, share warm thoughts, remind them that this is a quick an easy way to read news from you. Your event will gain popularity, because social sharing is a very effective tool.
Your participants may look for friends and work colleagues on LinkedIn. It is a good opportunity to participate in discussions. They all can follow you to receive press releases and other updates.
Share your photos
2018 is definitely the year of Instagram! This medium can be a great way to keep your participants interested. Hand made raw pictures and post-conference publications would be a great idea. Be more human, everyone is overwhelmed by photoshop and stock photos right now.

With this data and help – the organization of the next event will be way more easier
We realize how much effort and commitment it requires. That is why we are sure that drawing conclusions and preparing for the next event immediately after is a great practice. Meeting Application allows you to not only get a word of feedback from your attendees but also provides a summary of key metrics across app adoption, usage, actions and more. Based on the more specific data you can go with deep-dive and work with insights on user activity, preferences etc. Analytics allow you to find which speaker had best keynote, which topics were most attractive and who collected the highest engagement.
And no matter if you organize a corporate meeting, an internal event, a conference, a trade fair show, a company meeting or a music festival – it is always worth considering what can be done better in the next edition of your event. By using this data, you can create a so-called The Event Canvas. It is a visual chart (the outcome of a Design process by a team) with elements describing the event’s promise, it helps stakeholders to get their jobs done, resolving pains and creating gains within a set framework of commitment and expected return. The canvas articulates how the behaviour changes as a result of having participated in the event as well as stating the required levels of satisfaction against expectations. Additionally the canvas outlines the costs and expected revenues in relation to the customer journey (service design) and the instructional design of the event.
Just as we marked it in the first picture at the very beginning of this article. The synergy of activities Pre/In/Post Event is very important, and creating the next event, you should start by drawing the conclusions based on collected data – then you can organize something better than before.
